1. How does Watdoc work? Watdoc uses our uniquely designed booking system revolutionising how GP locums and Practices find and book locums without the use of a recruitment agency. As a Practice you can simply add your job details based on the date and time, specifying admin, home visits and on-call. Watdoc shall generate a list of all the available GPs who match your requirements. You can then view each of the GPs profiles, documents, experience, ratings, and invite them to work. Alternatively GPs can apply for the job listed. Both parties can then book via the website with notifications sent via email and through the Watdoc platform. We will shortly introduce sms and instant messaging.
  2. Is there a cost for using Watdoc? Watdoc is free to register and use for GP practices, with our special introductory offer.
  3. What is our aim?To help reduce the 3 billion pound cost of agency staff to the NHS and remove the costly agencies and middle men.
  4. Is Watdoc a locum agency?No. We are an online booking and networking portal designed to make the process of booking locums faster, smarter and easier. Removing the hassle out of the process will save time and money for both. The 30% charge normally taken by the agency is divided between the GP and the Practice currently giving Watdoc a 66% saving for Practices compared to that of the recruitment agency and 33% compared to other online agencies.
  5. What is direct engagement?Direct engagement is where a Health Provider establishes a relationship with a locum GP without any intermediaries. By being able to use Locum GPs external to your Surgery, temporary vacancies can be filled transparently and cheaply, avoiding agency commission. As we do not work with agencies therefore removing the fundamental inefficiency that is responsible for escalating spend. Locum GPs and Practices using Watdoc have complete control over everything, as it is all handled by the technology.
  6. How do I get started?Simply register by entering your Practice Code and set up your unique username and password. Multiple users can be created for the same practice. You can add and remove your branch surgeries based on your Practice code. You will be prompted to fill out your profile as the Practice Manager, including your practice number followed by a short description about your Surgery (type of Surgery, patient population etc.). Enter your preferred rates per hour, home visit, admin and on call. Finally selecting whether pension contributions are applicable, parking is available and your current IT system.
  7. Surgeries: How do I add a job?Simply input the date and time, followed by your rates and a short description.Select the admin, home visit, and on call if required. A list will be generated of all available GPs. View their profiles and send out invitations.
    Add a permanent job: Remember you can also post a salaried or partnership job for free, say goodbye to those over the top advertising costs and finders fees.
  8. How do I advertise a Long Term Job?Advertising a Permanent Job is easy, just fill out the job template form and click add. Your job will be viewable to all our GPs for free. There are no finders fees, over the top advertising costs or buy out clauses.
  9. How do I manage my bookings?You can manage your bookings and invoices on the Jobs overview page, here you will be able too see all your booked and completed jobs. Any invitations or requests made will also be visible. This is where you can receive and action your invoices.
  10. Who checks the GPs verification documents?A GP cannot use Watdoc until all their relevant documents have been uploaded. It is the responsibility of the Health Care Provider to review these prior to accepting the Doctor. Watdoc will carry out regular audits on all its Doctors as part of the clinical governance process, over time we shall take the responsibility away from the Practise as we understand how time consuming this can be.
  11. Does Watdoc screen candidates compliance with the requirements of the mandatory NHS Employment checks?No. We provide the infrastructure and technology for Locum GPs to create and maintain their own compliance profile within the platform. This can be overseen by the Practice Manager, and is fully auditable. We do not oversea the validity of the informations that they enter, as we are not an agency. Responsibility for checking compliance rests with the employing organisation. However Watdoc will carry out its own internal auditing process, and GPs who have uploaded all their verification documents can only then apply for jobs. All our GPs are matched against the GMC register, and all organisations require a practice code to register. Many NHS Practices particularly in the OOH setting require new locums to bring in paper documents for verification before their first placement, making the agency compliance process largely redundant and creating unnecessary duplication of workload and paper. In contrast, Locum Profiles within Watdoc platfrom have all necessary compliance data, so the necessary checks are paperless and can be done well before a Locum starts work. In addition compliance data is fully auditable forever.
  12. How do I contact a Locum GP?You can send an instant message to the Locum GP via Watdoc. Invitations, applications and bookings should be made through the Watdoc platform. Emails will be sent to your registered address. We will shortly be introducing sms and instant messaging through the platform. If you prefer you can contact each other directly via phone or email in the case of a dispute or missed payment.
  13. How do I cancel a booked shift?You can cancel an open or booked Job through your Jobs overview page. We have a standard cancellation template, furthermore both parties can edit, change or upload their own T&C’s.

    Watdoc will reserve the right to remove profiles if there have been recurrent and repeated cancellations by a user. We remind you that it is your responsibility to ensure you do not double book sessions, and that you honour your commitment to each other once a booking is confirmed.
  14. Do we (the Practice) pay the Locum GP directly? Yes . Watdoc is not a recruitment business thus does not handle the monies for the work undertaken. Once a Locum GP has completed the advertised job, you will receive an invoice from this GP, who will either use Watdocs standard payment terms or upload their own. Payment to the Locum GP is by your preferred method (cheque/bacs).
  15. Are there standard payment terms? Yes . All invoices should be paid before 28 working days from the invoice date. A late payment charge of 10% (editable) of the invoiced total per week after this 28 day period. These standard terms can be edited on your private profile page.

There are separate fields to add your rates per hour, for admin time, home visits and on call. It is vital for the billing section to be completed so you can get paid. Choose your preference regarding the distance you would like to travel. Following this you should upload your verification documents on our secure amazon cloud, this will enable you to use the Watdoc platform, thus allowing Practices to view these prior to commencing a job.
  7. How do I search for a job?It’s very simple, go to the search page and select the dates to and from. A list of all available jobs will be listed/shown on a map based on the distance selected from your postcode. View each job and apply. You can filter jobs bases on mornings and afternoons, In/Out of hours, admin, home visits and on call.
  8. How do I manage my bookings?You can manage your bookings on the Jobs overview page, here you will be able too view all your booked and completed jobs. Any invitations or requests will also be visible. This is where you action, confirm bookings and track payments.

  11. How do I update my DBS?It is your responsibility to arrange your DBS/CRB check through an existing employer. An enhanced DBS/CRB is required, and an annual update service is available to minimise your admin ar https://www.gov.uk./dbs_update_service.
  12. How do I contact the Practice?You can send a message to the Practice Manager on each page when you are logged in.
  13. How do I cancel a shift that has been booked?The responsibility to contact the Practice is solely upon the user and not Watdoc. This can be done in the Job Overview pages, where either a booked job or an application can be removed. We have a standard cancellation template, which both parties can edit, change or upload their own T&C’s.

  14. What if I am not paid on time?There is a late payment charge for this. All invoices should be paid before 28 working days from the invoice date.

  15. Can I send invoices and pension forms when a job has been completed? Yes. There is no need to pay a monthly subscription for generating your invoices. Once a Practice manager has confirmed attendance you can then generate both the invoice and pension form a (if required). Once paid and completed all invoices will be viewable in the Jobs Overview completed jobs section.
  16. Can the surgery employ me as a Salaried or Partner if I have been introduced to this Practice via Watdoc? Yes, this is one of the many benefits of using Watdoc, there are no finders fees or buy out clauses for the Surgery to pay. Here at Watdoc we encourage you to take up a long term post.
  17. Does Watdoc generate solo forms and Pension form B?No, not in version 1. We would be looking to incorporate this in the near future.
  18. Do Surgeries pay the locum directly?Yes. Watdoc is not a recruitment business thus does not take payments for the work you as a Locum GP have undertaken. To ensure you get paid you will need to complete the billing section of your profile. We have set a standard payment term of 28 working days from when to invoice was generated. You can edit this to suit your own terms. A job will only be complete on the Watdoc platform once you have been paid. You can send handy reminders by messaging the Practice through Watdoc.
  19. How do I negotiate the rate or Job details?You can message the practice on all pages where the Job detail are shown. This is the best time to negotiate the rate, prior to accepting the job.
